Resize a Photo and Signature to the Exact Size a Form Asks For

7 min read · Updated 2026-10-05

Exam registrations, job applications, passport and visa portals and scholarship forms usually ask for a recent photo and a scanned signature with strict rules — for example "JPG, 200 × 230 pixels, 20–50 KB" for the photo and "JPG, 140 × 60 pixels, 10–20 KB" for the signature. Upload anything outside the range and the form refuses it.

These numbers are easy to meet once you know what each one controls. This guide explains pixels, kilobytes and DPI in plain language and gives a step-by-step method that works for both photos and signatures.

Pixels, KB and DPI — three different things

Pixels are the width and height of the image, such as 200 × 230. This is about shape and detail: more pixels means more detail.

KB (kilobytes) is the file size — how much storage the image uses. It depends on the pixel size, but also on how strongly the image is compressed. Two images of exactly 200 × 230 pixels can be 15 KB or 90 KB depending on compression quality.

DPI (dots per inch) only describes how large the image should print. It does not change the pixels or the file size. If a form asks only for pixels and KB, you can ignore DPI.

Before you start: take a good original

For the photo, use plain light background, even light from the front, no shadows on the face, and the head and shoulders centred. Most phones take photos much larger than any form needs, which is good — it is easy to make an image smaller, impossible to add missing detail.

For the signature, sign in black or dark blue ink on plain white paper, then photograph or scan it in good light. Crop tightly around the signature so there is little empty paper around it.

Step 1: get the right shape

Forms usually want a specific shape — a portrait rectangle for photos, a wide rectangle for signatures. If you resize a photo with the wrong shape to exact dimensions with the aspect ratio unlocked, the face will look stretched.

First crop the image to roughly the right shape on your phone or computer (most gallery apps have a crop tool). Then resize it to the exact pixel size; because the shape already matches, it will not be distorted.

Step 2: resize to the exact pixels

Use Image Resizer:

  1. Upload the cropped photo or signature.
  2. Enter the exact width and height from the form instructions (for example 200 and 230).
  3. Keep the aspect ratio locked if your crop already has the right shape; unlock it only if the form needs an exact size and your crop is very close.
  4. Download the resized image.

Step 3: bring the file size into the KB range

Check the file size. If it is above the maximum, open Image Compressor, choose Lossy mode and lower the quality step by step (try 80, then 70, then 60) until it falls inside the range. Small images usually reach 20–50 KB at a quality between 60 and 85.

If the file is below the minimum — this happens with very small signatures — increase the quality, or use slightly larger pixel dimensions if the form allows a range.

Make sure the final format is what the form asks for. If the form wants JPG and you have a PNG or a HEIC photo from an iPhone, convert it with Image Converter first.

Common reasons uploads are rejected

Wrong format (PNG or HEIC instead of JPG), file size just outside the range, dimensions swapped (230 × 200 instead of 200 × 230), or a photo that is too dark or has a busy background. Read the error message carefully — it usually tells you which rule failed.

Also check the file name: some older portals reject names with spaces or special characters. Renaming the file to something simple like photo.jpg avoids the problem.

Frequently asked questions

Does changing DPI change the file size?

No. DPI is only a printing hint. File size depends on pixel dimensions and compression quality.

Why does my photo look blurry after resizing?

It is either very small (which is what the form asked for) or it was enlarged from a smaller original. Start from the largest original you have and only make it smaller.

My signature is too light — what can I do?

Sign again with a darker pen and photograph it in brighter, even light. Editing a faint signature rarely looks good.

Are my photos stored by FilesSwift?

No. Uploaded images are deleted automatically after processing, normally within 15 minutes.
