How to Sign a PDF Without Printing and Scanning
Printing a document just to sign it, then scanning it back, wastes time and produces blurry, crooked pages. For many everyday documents — offer letters, rental agreements, consent forms, invoices — you can add your signature digitally in a minute.
This guide shows how to prepare a clean signature image, place it correctly, and when an image signature is not enough.
Step 1: create a clean signature image
Sign with a dark pen (black or dark blue) on plain white paper. Photograph it from directly above in bright, even light, or scan it.
Crop the image tightly around the signature. If you can, remove the background to get a PNG with transparency — then the signature sits naturally on any page, without a white box. Keep this file private; it is your signature.
Step 2: place it on the PDF
With FilesSwift Sign PDF:
- Upload the PDF, then upload your signature image (PNG or JPG).
- Choose the page — First, Last or All — and the position: one of the four corners or the centre.
- Set the size as a percentage of the page width; 20–30% looks natural for most documents.
- Download the signed PDF and check the placement before sending it.
Adding a date or name next to the signature
Many forms ask for the date, place or your printed name next to the signature. Use Add Text to PDF to place a line of text such as "Ahmedabad, 6 October 2026" on the same page, in English, Gujarati or Hindi.
If the document has form fields that you filled in, flatten it afterwards with Flatten PDF so the values cannot change.
Image signature, digital signature and eSign
An image signature is a picture of your handwritten signature. It is accepted for many everyday business documents, but it does not prove who added it or that the document was not changed afterwards.
A digital signature (for example a Digital Signature Certificate, DSC) uses cryptography: it binds your verified identity to the document and shows if anything changes later. Aadhaar-based eSign is another legally recognised electronic signature in India. Government filings, tenders and some legal documents require these — an image signature will not be accepted there.
When in doubt, ask the recipient which type of signature they need.
Keep your signature safe
Do not leave your signature image in shared folders or email it around. Sign documents yourself rather than sending the image to others, and keep signed copies so you know exactly what you signed.
Frequently asked questions
Is a signature image legally valid?
It is accepted for many everyday documents, but where the law or the recipient requires a certified digital signature or eSign, an image is not enough.
Why does my signature have a white box?
The image has a white background. Use a PNG with a transparent background, or crop very tightly.
Can I sign every page?
Yes — choose "All" as the page option in Sign PDF.
Is my signature stored by FilesSwift?
No. Uploaded files are used only to create your signed PDF and are deleted automatically.
